Paralegal Commercial Property
To provide comprehensive legal and administrative support to solicitors within the Commercial Property Department, assisting with a broad range of property transactions and matters. The role involves managing files, preparing legal documentation, liaising with clients and third parties, and ensuring matters progress efficiently and in line with regulatory requirements.
Key Responsibilities
Transactional Support
- Assist solicitors with commercial property transactions, including acquisitions, disposals, leases, refinances, and development matters.
- Draft and prepare legal documents, including leases, licences, assignments, reports, completion statements, and ancillary documentation.
- Undertake title investigations and review Land Registry documentation.
- Carry out property searches and review search results.
- Prepare and submit Land Registry applications and SDLT returns.
- Manage post-completion matters and ensure compliance with deadlines.
- Maintain accurate and up-to-date case management records.
Client and Third-Party Liaison
- Communicate professionally with clients, lenders, agents, surveyors, local authorities, and other solicitors.
- Provide clients with updates on the progress of their matters.
- Arrange meetings, telephone conferences, and document signings.
- Respond to routine enquiries in a timely and efficient manner.
File and Administrative Management
- Open new files and conduct client due diligence and anti-money laundering checks.
- Assist with billing processes and preparation of invoices.
- Ensure all files are maintained in accordance with firm procedures and compliance requirements.
- Organise and maintain electronic and paper filing systems.
- Handle incoming and outgoing correspondence.
Compliance and Risk Management
- Ensure compliance with Solicitors Regulation Authority (SRA) requirements and firm policies.
- Adhere to anti-money laundering and data protection regulations.
- Identify and escalate potential risks or issues to supervising solicitors.
- Assist with audits and file reviews as required.
Skills and Experience
- Previous experience in a legal support or paralegal role, preferably within commercial property.
- Understanding of commercial property transactions and procedures.
- Excellent organisational and time management skills.
- Strong attention to detail and accuracy.
- Excellent written and verbal communication skills.
- Ability to manage multiple tasks and meet deadlines.
- Proficiency in Microsoft Office and case management systems.
- Experience of Land Registry applications and SDLT submissions.
- Knowledge of commercial leases and property finance transactions.
